Privacy Policy for RefLog

RefLog is published by Rabbit Hole Apps (“we,” “our,” or “us”). This policy explains how we handle information when you use the RefLog mobile app.

1. Local-first

RefLog is built around privacy. Match data stays on your device by default. We do not operate servers that store your matches, notes, or event logs.

2. Information we collect

2.1 User content (stored on your device)

When you use RefLog, you may enter or create:

Match details (teams, dates, locations, officials)
Event logs, notes, and coach observations
Optional voice recordings in Coach Mode (microphone access only when you start a recording)
Exported PDF and Excel files (saved or shared by you)

This content is stored locally on your device unless you export or share it yourself.

2.2 Diagnostic and configuration data

RefLog may use Firebase (Google) services for:

Remote Config: feature flags and in-app configuration (for example, tutorial settings)
Crash and performance diagnostics: optional crash logs to improve stability (SDK may be present depending on your app version)

We do not currently run advertising, remarketing, or user analytics tied to your identity.

We do not collect:

Account information (RefLog does not require a login today)
Email, name, or phone number through the app
Precise location (GPS)
Contacts, photos, or camera roll

2.3 Support email

If you email us at [email protected], we receive whatever you choose to send (device type, screenshots, descriptions). We use that only to respond to your request.

3. How we use information

We use information to:

Operate RefLog on your device
Deliver remote configuration and crash diagnostics
Respond to support requests you send us
Improve stability and features

We do not sell your personal information.

Match data is stored locally on your device (for example, via encrypted local storage). It does not leave your device unless you:

Export a PDF or Excel file and share it
Email us for support and attach details voluntarily

We cannot access your local match data remotely.

5. Third-party services

RefLog uses:

Flutter: app framework (Google)
Firebase: remote configuration and diagnostics (Google Privacy Policy)
Apple App Store / Google Play: app distribution

If you open a video link (YouTube, Vimeo, etc.) from match info, that site’s privacy policy applies.

6. Your rights

Depending on where you live, you may have rights to access, correct, delete, or port personal information we hold about you (for example, in support correspondence).

Because match data is stored on your device:

Delete matches in the app or uninstall RefLog to remove local data

California residents (CCPA/CPRA): We do not sell personal information. You may contact us to request information about data we hold from support emails.

EEA/UK residents (GDPR): Our legal basis for processing is typically legitimate interest (operating and improving the app) and consent where required (for example, microphone access). You may contact us or your local data protection authority with concerns.

7. Children’s privacy

RefLog is not directed to children under 13. We do not knowingly collect personal information from children under 13. Contact us if you believe a child has provided information to us.

8. Security

We use reasonable measures to protect information we process. No method of storage or transmission is 100% secure. You are responsible for securing your device and any files you export.

9. Future cloud features

We may offer optional cloud backup, sync, or collaboration later. If we do:

They will be optional. Local-only use will still work
We will update this policy before those features launch
We will describe what is stored, where, and how to delete it

10. Changes

We may update this policy as features change. We will post updates here with a new “Last updated” date.
